Before the first note
Festival set run sheet template
Festival slots depend on quick, predictable changeovers. This template works backward from a fixed set time and separates site arrival, staging, line check, and clearing the stage. Replace the example times with the festival's advance information.
Separate arrival from stage access
Allow for accreditation, vehicle access, and moving equipment. Arriving at the site does not mean the stage is ready for you.
Work to a hard finish
Fit the set, introductions, and any encore inside your slot. Agree who watches the clock and how the stage manager signals remaining time.
Make changeover predictable
Confirm shared backline and what must leave the stage immediately. Use the notes for practical load-out instructions, and keep detailed technical requirements in your advance document.

What if the show finishes after midnight?
Keep the schedule in show order. When a time is earlier than the row above it, the sheet marks that item as the following day.
